Outbound Prospecting Playbook
for Trivia Mafia

Prepared for Chuck & Sam
July 2026

This is a working overview of the channels, tools, and sequencing logic that drive modern B2B outbound — specifically for a company like Trivia Mafia targeting corporate buyers (HR leads, People & Culture, event managers) at mid-size to enterprise companies. It covers what's available, what actually works, and where to start.

01

Plain Text Email

For cold outbound, plain text consistently outperforms designed HTML email. It looks like something a real person wrote — because it does. HTML templates trigger spam filters, render poorly on mobile, and signal "marketing blast" before the recipient reads a word.

Example subject lines that work for a team-building pitch:
"quick question about [Company] offsite"  ·  "team events at [Company]"  ·  "we work with [Similar Co]"  ·  "idea for [Company]'s culture team"
02

List Building & Data

The quality of your list determines the ceiling on everything else. A great email sent to the wrong person is still a miss. Here are the main sources, from lowest to highest cost:

Apollo.io Recommended Start
The best self-serve B2B contact database for getting started. 275M+ contacts, filters by title, company size, industry, tech stack, and more. Strong email data. Free tier covers basic search and limited exports; paid plans start around $49–99/month and unlock bulk export.
For Trivia Mafia: Search "HR Director", "Head of People", "VP Culture", "Events Manager" at companies with 50–500 employees. Filter by region and industry to build a focused list.
LinkedIn Sales Navigator $99–149/mo
The most accurate source for current job titles and company data — LinkedIn is where people update their roles first. Sales Nav lets you build lead lists filtered by title, seniority, company size, geography, and recent activity signals (job changes, posts). Not a data export tool on its own — pair with Expandi or Apollo to get email addresses.
Best use: Build a targeted lead list, then enrich with email addresses via Apollo or Clay before reaching out.
ZoomInfo Enterprise Pricing
The gold standard for enterprise B2B contact data — excellent accuracy, deep firmographic data, and intent signals. Expensive (typically $15–25k/year). Best when you need very high-quality data at scale, or when Apollo's coverage is thin in your vertical.
Ken has a contact at ZoomInfo who can walk through options and pricing — worth a conversation if list quality becomes the constraint.
Clay Data + AI Layer
Clay is the modern data enrichment and personalization layer that pulls from 75+ sources (Apollo, LinkedIn, ZoomInfo, Clearbit, and more) and lets you use AI to write personalized first lines at scale. Instead of sending 500 identical emails, you build a Clay table that auto-generates a custom sentence for each prospect based on their LinkedIn activity, company news, or job title. Genuinely a step-change in outbound quality vs. quantity.
Pricing: Free for small experiments; paid plans from ~$149–$720/mo based on credits. The right tool once you've validated your ICP and have a repeatable message — overkill for week one.
Findylead / Bulk Enrichment ~$29/10k contacts
For high-volume low-cost email finding — $29 per 10,000 contacts exported from Apollo or built elsewhere. Useful when you need to go wide on a list before you've narrowed your ICP, or to supplement Apollo coverage. Lower accuracy than ZoomInfo.
03

LinkedIn Outreach

LinkedIn is the highest-trust outbound channel for B2B. A connection request from a real person at a real company lands very differently than a cold email. The downside: volume is limited by LinkedIn's daily activity caps, so it works best as a parallel channel to email, not a replacement.

Expandi CN Used This $97/mo
Cloud-based LinkedIn automation — runs automated connection sequences, follow-up messages, InMail campaigns, and event invites while you sleep. Connects to LinkedIn Sales Navigator to work from filtered lead lists. Safer than browser-extension tools (runs from a dedicated IP, not your machine).
Daily volume limits CN ran: Connection requests 30–60/day · Follow-up messages 60–80/day · Event invites 100–150/day · InMail 30–40/day.
Important: Stay within LinkedIn's safety limits — don't max out every category simultaneously. Warm up a new account gradually over the first 2–4 weeks.
04

Recommended Cadence

The most effective outbound runs email and LinkedIn as parallel tracks to the same prospect — multiple touchpoints, different surfaces, over 2–3 weeks. This is a simple starting cadence for Trivia Mafia.

Day 1
LinkedIn connection request with a 1-sentence note referencing their role + a light hook about team events.
Day 1–2
Cold email #1 — plain text, 4 sentences, one specific line about their company, one CTA. Subject: something curiosity-piquing, not "Partnership opportunity."
Day 4–5
LinkedIn follow-up (if connected) — short message, different angle. Reference a company milestone, recent post, or team size.
Day 7
Cold email #2 — even shorter. One line re-framing the value. "Wanted to resurface this in case the timing is better."
Day 14
Cold email #3 (breakup) — "I'll stop bugging you after this." Works as often as the first email. Signals you're a person, not a robot.
Sequence tip: Each email should make a different argument for why a reply is worth their time. Don't just re-send the same message. Email 1 = social proof. Email 2 = ROI/outcome angle. Email 3 = brevity + finality.
05

Where to Start

1
Define the ICP tightly before touching tools. For Trivia Mafia: what company size, what titles, what industries, what signals suggest they'd buy (remote/hybrid team, culture-forward, recent headcount growth)? A focused list of 200 right-fit prospects outperforms 2,000 loose ones.
2
Start with Apollo + manual LinkedIn. Build a 100–200 person list from Apollo, write personalized first lines manually for the first batch (you'll learn what resonates), and run the 3-email cadence above. No automation yet — validate the message first.
3
Add Expandi once the message works. Once you have a reply rate above ~3–4% and know what's landing, automate the LinkedIn track with Expandi at $97/month. Layer in Clay when you're ready to personalize at scale without manual effort per contact.
